1. Who controls your information

The Motor Medics Coventry is the data controller for information used to answer enquiries, manage bookings and provide garage services. The business decides why and how those operational records are used. The independent website supplier provides technical development and support and may access limited information only where needed to maintain or secure the website and on the business's instructions.

Questions and data-rights requests should be sent to the garage using the contact details below.

2. Information we collect

• Contact details: name, telephone number, email address and messages.
• Vehicle and job details: registration, make and model, reported symptoms, requested service, preferred date and notes.
• Garage records: quotes, authorisations, work carried out, parts, invoices, warranty and payment records where applicable.
• Website and security data: IP address, browser/device information, request logs, rate-limit and security events.
• Optional analytics data: website usage information collected by Google Analytics, and marketing tools if enabled, only after you accept optional cookies.
• Public content: genuine review information and workshop/gallery photographs where publication is lawful.

3. Why we use it and lawful bases

• Contract and steps before a contract: to assess a request, quote, arrange an appointment and perform agreed work.
• Legitimate interests: to operate and secure the site, organise the workshop diary, communicate with customers, prevent abuse and manage reasonable business records.
• Legal obligations: for tax, accounting, safety, insurance or other records the business must keep.
• Consent: for optional analytics/marketing technologies and any publication where consent is the appropriate basis.

Information submitted for a booking is not added to a marketing list and is not sold.

4. What happens to a booking request

A website booking is a request, not a guaranteed appointment. The form checks the workshop's configured opening days and available calendar capacity. A request is stored in the protected Cloudflare D1 booking database, sent by transactional email through Resend and, when the connected calendar is available, added to the garage's Google Calendar. The garage then confirms or rearranges the appointment directly with you.

Vehicle-registration lookups use DVSA vehicle data. The lookup can fail or return incomplete data; the booking form allows vehicle details to be supplied manually instead.

5. Providers and recipients

• Cloudflare: hosting, security, request logs, D1 booking/admin storage and R2 media storage.
• Resend: transactional booking email delivery and delivery metadata.
• Google: Calendar scheduling, optional Analytics, public review data and other enabled Google services.
• Meta: only if a Meta marketing pixel is configured and you accept optional cookies.
• DVSA: vehicle details when you ask the site to check a registration.
• Parts suppliers, insurers, professional advisers or authorities: only where needed for the job, a legal claim, safety or a legal obligation.
• Website/IT support: limited access required to maintain, secure or troubleshoot the system under the garage's instructions.

Some providers may process data outside the UK and use their own lawful transfer safeguards.

6. Cookies and browser storage

Essential storage is used for security, authentication and remembering your cookie choice. Optional Google Analytics and any enabled marketing scripts are not loaded until you select Accept optional. Selecting Essential only keeps those scripts off. You can reopen Cookie choices from the footer and withdraw consent at any time.

7. Retention

The temporary booking row held in this website's D1 booking database is automatically deleted after seven days. That seven-day period applies only to that website database row. It does not mean that a calendar event, transactional email, invoice, warranty record, workshop note, paper file or record in another system is deleted at the same time.

The garage sets and operates retention periods for Google Calendar, email, accounting, repair, warranty, safety and paper records according to why each record is needed and any legal obligations. Security logs and provider records follow the relevant provider's configured retention.

8. Your rights

Depending on the circumstances, you may ask the garage for access, correction, deletion, restriction, portability or to object to processing. You may withdraw consent for optional cookies at any time. Legal exceptions can apply, including where records are needed for tax, warranty or legal claims.

9. Security and complaints

Access to booking and administration systems is restricted and reasonable safeguards are used. No online service can promise absolute security. Please contact the garage first with a concern.
